Best HVAC software with QuickBooks sync: what actually syncs, in Online and Desktop

If your books are in QuickBooks Desktop, Jobber is off the list: it connects only to QuickBooks Online. If your books are in QuickBooks Online, all six platforms compared here connect, but "syncs with QuickBooks" hides a bigger question, which is which direction the data moves. Housecall Pro's own help center describes its QuickBooks Online integration as typically one-way, from Housecall Pro into QuickBooks, which is not how at least one popular comparison guide describes it. This page checks each platform's own documentation for what it pushes, what it never pulls back, and what a bookkeeper has to fix by hand.

"Two-way sync" is the most over-used phrase in this category. Vendors use it for anything from "we can import your customer list once at setup" to "an invoice edited in QuickBooks updates the job." Those are very different products for an office manager. The table further down separates the marketing claim from what each vendor's documentation actually says.

Who this is for

Owner-operators and office managers at HVAC, plumbing and electrical businesses of roughly 2–25 technicians who already run their books in QuickBooks, or whose bookkeeper insists on it, and who need to choose field service software that will not create double entry. The comparison covers Jobber, Housecall Pro, ServiceTitan, Workiz, FieldPulse and Service Fusion, the same six platforms used in the FSM total cost calculator.

It is less useful if you use Xero, Sage Intacct or another ledger (ServiceTitan supports several, the others mostly do not), if you are still choosing between QuickBooks and something else, or if you want a full accounting-software review. This page is about the connection between field service software and QuickBooks, not about QuickBooks itself. Compatibility rows come from each vendor's own help center (see Methodology). The Mac row reflects that none of the vendor pages retrieved for this page confirmed a Mac option, and several state Windows-only support; it is not proof that none exists.

QuickBooks Desktop in 2026: who can still connect, and why it matters

Whether a platform supports QuickBooks Desktop matters less than it did, because Intuit is winding the product down in stages. Intuit's own notice states that it stopped selling new Desktop Plus subscriptions (Pro Plus, Premier Plus and Mac Plus) to new U.S. subscribers after September 30, 2024, that existing subscribers can keep renewing, and that Desktop Enterprise is not affected and can still be bought.

Version support has moved on since. Desktop 2023 lost live support and connected services (payroll, bank feeds, payments and security updates) on May 31, 2026. For Desktop 2024, sources published in 2026 disagree. Guides written earlier in the year say support ends September 30, 2027; a lifecycle page updated August 9, 2026 says Intuit committed in mid-2026 to continuous support with no sunset date. This page does not pick a side. Confirm the current position on Intuit's own lifecycle page before you plan around a date.

The practical effect for field service software is a version floor. Workiz's Desktop integration requires QuickBooks Desktop 2022 or later. FieldPulse's newest setup pages say 2024 and newer, although older FieldPulse help articles still say 2021 or 2023, so ask before you sign. If you are on Desktop 2023 or earlier, you may need to upgrade or move to QuickBooks Online before any of these integrations is an option. That is an accounting decision to make with your bookkeeper, not a field service software one.

A quick reference for what each vendor's documentation states. "Verify" means the vendor documentation was silent, inconsistent, or the only description came from a third-party source.

Two-way claims versus what the documentation says

Some comparison guides label Housecall Pro "two-way" and Jobber "one-way." The vendors' own documentation is more nuanced than either label.

The useful test is a concrete one: "If my bookkeeper corrects an invoice amount in QuickBooks, does the job in your software update?" Ask each vendor that exact question in writing. Of the six, FieldPulse is the only one whose retrieved documentation explicitly offers that behaviour, and only in a form you choose at setup.

Platform by platform

Jobber

Jobber connects to QuickBooks Online only and states that no information passes to QuickBooks Desktop. The current integration pushes clients, products and services, invoices, payments, refunds, tips, Jobber Payments payouts and timesheets from Jobber into QuickBooks. Payments, refunds and payouts can be synced when collected or not at all, and past records can be back-filled from a date you choose.

Two constraints matter. First, edits made in QuickBooks do not flow back, and deleting a record in Jobber does not delete it in QuickBooks. Second, one Jobber account connects to one QuickBooks account at a time, and the person who set up the connection must keep an active email address in both systems. A first-time connection includes a one-time import from QuickBooks into Jobber, so clean up your QuickBooks customer list before you connect. As Jobber vs Housecall Pro covers, the sync starts on the Connect plan, so the cheapest Jobber tier does not include it.

Housecall Pro

On QuickBooks Online, Housecall Pro pushes invoices, payments (including service plan payments), new customers and new price book items. The sync triggers when a job is marked finished, an invoice is sent, or a job is marked paid, and Housecall Pro says the data arrives within 2 to 5 minutes.

The documented gaps are the ones that generate bookkeeping work. Estimates do not push to QuickBooks. Changes to line items, quantities, prices or descriptions after the first sync do not update the QuickBooks invoice until you push it manually. Invoices deleted or cancelled in Housecall Pro must be deleted or cancelled in QuickBooks by hand. Labor and materials are not separated when price book items sync. Price book edits made in QuickBooks do not come back. Printing an invoice does not trigger a sync; sending it does.

On QuickBooks Desktop, Housecall Pro uses the QuickBooks Web Connector. After you connect, it is a one-way sync from Housecall Pro to QuickBooks Desktop. Jobs imported rather than created in Housecall Pro will not sync payments or changes, and QuickBooks Desktop needs taxes enabled, with a 0% tax rate created if you do not charge tax. If you run QuickBooks Desktop in multi-user mode, Housecall Pro recommends syncing manually to avoid data loss.

ServiceTitan

ServiceTitan lists QuickBooks Desktop (Pro, Premier and Enterprise), QuickBooks Online, Sage Intacct, Xero and a general CSV export as supported accounting integrations, and says they are available to all customers. QuickBooks Online connects through an API with no additional software, while Desktop uses the Web Connector. Its documentation notes that Mac users can connect to QuickBooks Online directly and that its Intuit Enterprise Suite support works through the underlying QuickBooks Online accounts rather than dimensions in the suite itself.

Because ServiceTitan does not publish prices, the sync is not a differentiator on cost. It matters when you outgrow QuickBooks: the Sage Intacct connection is aimed at multi-location businesses. For the size question, see Housecall Pro vs ServiceTitan.

Workiz

Workiz's QuickBooks Online connection runs in two stages. First, clients and items (including inventory items) come from QuickBooks into Workiz, matching existing clients by first and last name. Then invoices flow from Workiz to QuickBooks. You choose whether invoices sync when created, when paid in full, or manually, and separate settings control whether all payments sync automatically. Deposits taken on an estimate appear in QuickBooks as unapplied until the invoice is paid.

The details to check: syncing invoices on creation is limited to Workiz Pay customers; standalone invoices are created blank, so they never sync on creation; and every invoice must contain items to sync. For QuickBooks Desktop, the help center says Workiz requires Desktop 2022 or later, sends invoices and payments one way to QuickBooks, and strongly recommends signing up for Workiz Pay before connecting, because doing it in the wrong order can cause complications later.

FieldPulse

FieldPulse's Desktop documentation is unusually specific. It supports the Windows version only, requires setup in single-user mode on a computer (not a server) that has QuickBooks Desktop, needs the computer's sleep mode disabled, and needs the Web Connector left open and set to auto-run every minute. Customers, estimates, invoices, line items, payments, classes and tax codes are covered, and timesheets can sync if you use QuickBooks Time. Access is not self-serve: you contact FieldPulse support to have the integration enabled, then choose one-way or two-way for estimates and invoices.

The version requirement is where FieldPulse's own pages disagree. Newer articles say 2024 and newer, while other articles say 2021 or 2023 and newer. That is worth a written answer from sales before you commit. On QuickBooks Online, FieldPulse says customers, estimates, invoices, line items and payment records sync as they are marked Invoiced or Paid, and its partner page describes the connection as two-way. Service Fusion

Service Fusion connects to QuickBooks Online through Intuit's OAuth and says invoices, payments and customer records stay aligned. QuickBooks Desktop needs a small Windows-only program installed on your computer. Service Fusion's Desktop setup guide warns that the first invoice you create in Service Fusion must be numbered higher than your last QuickBooks invoice, or the sync will collide. Its QuickBooks support is included on the Starter plan on the listings retrieved, and pricing is flat with unlimited users, which is why it appears in the cost example below. Worked cost example: a QuickBooks-ready plan at 5 and 10 technicians

Subscription price is only part of the cost of a QuickBooks sync, but it is the part you can compare. The table below takes the cheapest published plan on each platform that includes the QuickBooks sync, for a team of 5 and a team of 10 users. QuickBooks itself is a separate Intuit subscription and is not included in any figure.

Three things stand out. At 5 users Jobber and Housecall Pro are identical on price, so the deciding factor is the QuickBooks version: only Housecall Pro of the two connects to Desktop. At 10 users, Service Fusion's flat pricing is cheaper than Housecall Pro's MAX tier plus overage on every listing figure used here, and Jobber stays cheapest if you are on QuickBooks Online. And for the platforms that do not publish prices (FieldPulse, ServiceTitan and, now, Workiz), the honest answer is that you cannot compare the sync's cost until a salesperson quotes it, which is a cost in itself.

Add the cost that does not appear in any tier table: card processing. A QuickBooks-connected setup often exists because the business takes card payments through the field service tool, so run your volume through the merchant processing fee impact calculator as well.

Where QuickBooks syncs break in practice

We did not find a large body of independent user-review data specific to QuickBooks sync quality, so this section leans on limitations that the vendors document themselves, plus two points flagged as reported rather than verified. Documented, in order of how often they cost office time:

Reported, not verified by us: a contractor-run guide published in 2026 says Jobber payments arrive in QuickBooks as undeposited funds, so a manually entered bank deposit can double-count revenue, and that Housecall Pro customers with slightly different spellings can create duplicate customers in QuickBooks. Treat both as things to test during a trial rather than as established facts.

Pre-flight checklist before you connect

  1. Confirm your QuickBooks product and version (Online plan, or Desktop edition and year), then confirm the vendor's written version requirement for it.
  2. Merge duplicate customers in QuickBooks and flatten any customer hierarchy deeper than the platform allows.
  3. Decide which system is the source of truth for customers and price items, and tell your bookkeeper that edits belong there.
  4. On Desktop, check that taxes are enabled, that the file can be opened in single-user mode for setup, and that the machine running the Web Connector will stay awake.
  5. Set your invoice numbering so the first invoice in the new tool starts above your last QuickBooks invoice.
  6. Run a test job through the whole path (create, finish, invoice, pay) and reconcile the result in QuickBooks before you go live. Delete test records in QuickBooks as well, because deleting them in the field service tool will not remove them.
  7. Decide how payments and deposits will be recorded once, to avoid the same money being counted twice.

Which one to choose

You are on QuickBooks Online and want the lowest published price

Jobber Connect and Housecall Pro Essentials tie at 5 users, and Jobber is cheaper at 10. Pick Jobber if you are comfortable making all corrections in the field service tool.

You are on QuickBooks Desktop

Housecall Pro is the lowest-priced published option at 5 users. At 10 users, Service Fusion's flat pricing is worth quoting. Confirm your Desktop version against each vendor's requirement first.

Your bookkeeper wants to edit in QuickBooks

Ask FieldPulse and Workiz which fields flow back, in writing. Do not assume either behaves like a true two-way sync for every record type.

You expect to outgrow QuickBooks

Where a vendor page was silent on a detail (the direction of ServiceTitan's and Service Fusion's sync, for example), the page says so and marks it "verify" rather than filling the gap with a third-party claim. Jobber and Housecall Pro subscription prices are carried over from the Jobber vs Housecall Pro page, which reads them from each vendor's pricing page. Service Fusion and Workiz prices are not confirmed against the vendors' own pricing pages: they come from third-party listings and, for Workiz, a last-published rate, and are labeled that way. FieldPulse and ServiceTitan do not publish prices. QuickBooks Desktop lifecycle facts come from Intuit's own notice for the sales change and from third-party lifecycle guides for version support dates, and those guides disagree on Desktop 2024. On published annual-billing prices, Jobber Connect (5 users) and Housecall Pro Essentials both come to $149 a month, or $1,788 a year. Only Housecall Pro of the two connects to QuickBooks Desktop. Service Fusion is a flat-rate, unlimited-user plan that lists above that at 5 technicians but becomes cheaper than Housecall Pro's MAX plan at 10. Workiz, FieldPulse and ServiceTitan do not currently publish full pricing.

How often does the sync run?

It varies by platform and by QuickBooks version. Housecall Pro says QuickBooks Online syncs within 2 to 5 minutes of a trigger such as finishing, invoicing or paying a job. FieldPulse's QuickBooks Desktop setup tells you to set the QuickBooks Web Connector to auto-run every 1 minute and to keep it open. Workiz syncs invoices when they are created or when paid in full, or on demand. Jobber's newer integration syncs ongoing and automatically according to your sync settings.

Do I pay for QuickBooks separately?

Yes. The field service subscription and the QuickBooks subscription are separate purchases. Housecall Pro states this directly: QuickBooks is not included in a Housecall Pro subscription. Budget for both, and check that the field service plan you choose includes the sync at all, since some platforms only unlock it on a higher tier.
